General Affairs Specialist (1-Year Contract)
Your Mission
The General Affairs Specialist is responsible for overseeing General Affairs (GA) operations, ensuring seamless business, executive, and office support within HMGICS. The incumbent manages corporate travel, office facilities, expatriate mobility support, employee welfare operations, and cost control functions. The position serves as a key liaison between employees, management, and external vendors to ensure operational efficiency, policy compliance, cost optimization, and a well-maintained, conducive working environment.
What To Expect

Manage corporate travel arrangements and payment settlements. Liaise with travel agencies, airlines, and hotels.

Provide ad hoc support to senior management and business units.

Oversee office operations, supplies, assets, and staff facilities.

Administer locker allocations, maintain records, and resolve related matters.

Oversee GA storeroom organization and storage racks.

Coordinate expatriate travel, relocation, and compliance processes.

Administer employee welfare initiatives, such as congratulations, condolences, and related benefit arrangements.

Process fuel invoices and coordinate meal credit arrangements.

Monitor, verify, and process invoices with accurate cost allocation and timely payment settlement.

Coordinate and prepare VIP meeting rooms and executive spaces in alignment with corporate standards.

Support corporate events, town halls, and official functions, including logistics coordination and administrative preparation.
What You'll Bring

Bachelor’s degree or equivalent qualification in Business or Office Administration/Management.

Minimum of 1 year of relevant experience in office administration and workplace support functions, including exposure to facility management, executive support, and employee welfare operations.

Strong organizational and coordination skills with professional written and verbal communication abilities.

High attention to detail with strong data accuracy.

Ability to handle sensitive information with confidentiality.

Proficiency in Microsoft Office; familiarity with SAP Accounting Software is preferred.
