General Affairs Specialist (1-Year Contract)

Your Mission

This position involves various administrative tasks such as equipment, furniture, and stationery support, vendor management, pantry operations, and system operations to support HMGICS' business.

What To Expect

1. Business Support

  • Assist with business travel arrangements, including airfare and accommodation reservations and payment settlements.
  • Purchase and maintain supplies for executive services, such as mail, stationery, business cards, and souvenirs.
  • Support employees by providing helpful information, answering questions, and addressing complaints.
  • Perform other business support tasks as assigned.

 

2. Office Management

  • Manage and support office supplies, including furniture, equipment, home appliances, and convenience facilities.
  • Oversee pantry operations, including bottled water and snacks.
  • Support other office and HMGICS space operations.

 

3. Expatriate Support

  • Assist with signing rental/lease contracts for expatriate real estate.

 

4. Benefit Operations

  • Support congratulations and condolences initiatives and other HMGICS employee benefit systems.

 

5. Vendor Management & Cost Handling

  • Maintain a positive working environment by managing facility maintenance and cleaning outsourcing vendors.
  • Manage general administration service providers.
  • Settle costs and expenses.

What You'll Bring

  • Bachelor's Degree in any discipline.
  • Minimum 2-3 years of experience in general administration.
  • High proficiency in MS Office (Word, PowerPoint, Excel, Outlook, etc.).
  • Experience and proficiency with the SAP system.
  • Logical thinking for making decisions based on quick and precise judgments.
  • High learning agility, with the ability to continually and rapidly learn new information and adapt to a changing context.
  • Willingness to grow and progress with a recently-established corporation.
  • A pleasant personality with excellent communication and interpersonal skills.
  • Appreciation for diversity, establishing relationships, and learning about people from various cultures and backgrounds.
  • A high level of work ethics.
  • Demonstrated proficiency in written and verbal communication, including creating reports and presentations.
  • Possess fluent English (business fluency in writing reports and delivering presentations).
  • Proficiency in Korean (to liaise with Korean speaking associates) is an advantage but not required.
